Operations Coordinator

Reporting to the COO, this role is responsible for the administrative support of the following business functions: Marketing, People, Compliance, and Team and Client Experience. This role will spend equal time supporting each function unless otherwise directed by the COO. The successful candidate should have experience working in an administrative capacity supporting any or all of the listed functions.

Key Responsibilities

People Support

  • Assist the Director of People with various administrative tasks for recruitment processes, scheduling interviews, onboarding new hires, and offboarding teammates.
  • Maintain accurate teammate records and assist with HR compliance documentation.
  • Support internal communications and employee engagement initiatives.
  • Assist with benefits administration and respond to teammate inquiries.
  • Assist with maintaining the CTWM learning platform – Playbook Builder.
  • Assist with state and local reporting requirements.
  • Support the scheduling of mid and year-end performance review meetings.
  • Provide administrative support for the CTWM Mentor program and CTWM Intern program.

Team & Client Experience

  • Provide administrative support to the Director of Team & Client Experience, including:
    • Event planning and execution, including client and internal teammate events.
    • Recognition and Wellness program initiatives and activities.
    • Gifting
    • Annual surveys and internal teammate surveys

Marketing Support

  • Assist Marketing team with administrative functions.
  • Coordinate social media scheduling and monitor engagement metrics.
  • Maintain and update marketing databases, CRM systems, and mailing lists.
  • Support event planning and execution, including webinars and client seminars.
  • Assist with maintaining CTWM website.

Compliance Support

  • Assist with maintaining compliance documentation and records in accordance with regulatory requirements.
  • Support the preparation and submission of compliance reports and audits.
  • Coordinate with internal teams to ensure timely completion of compliance-related tasks.
  • Help implement and track adherence to firm policies and procedures.

As Needed Support

  • Manage light calendar scheduling, travel arrangements, and expense reporting for leaders.
  • Cover the front reception desk as needed.
  • Assist with preparing presentations, reports, and meeting materials for internal purposes.
  • Assist with special projects and cross-functional initiatives on an as-needed basis to improve operational efficiency.

Qualifications

  • Education: Bachelor’s degree in business administration, Marketing, Human Resources, or related field preferred.
  • Experience: 2+ years in an administrative or support role, ideally within financial services or wealth management.
  • Skills:
    • Strong organizational and multitasking abilities – supporting several departments.
    • Excellent written and verbal communication skills.
    • Proficiency in Microsoft Office Suite.
    • Familiarity with Recruitment, HRIS systems, and marketing tools is a plus.
