The Client Service Associate plays an important role in delivering exceptional service and operational support to the Client Service Specialist and, inevitably, clients. This position requires strong attention to detail, a commitment to learning the role, and the ability to execute essential servicing transactions accurately and efficiently. The ideal candidate will demonstrate a foundational understanding of industry concepts, firm processes, and compliance standards while actively supporting the team’s adherence to service standards.
Responsibilities:
Support of Client Engagements
- Actively seeks to learn about clients and their preferences using meeting notes, client profiles, and other resources.
- Assists with client engagement activities, including the preparation of gifts and birthday cards.
- Participates in CTWM events and interacts with clients to strengthen relationships.
Service Transactions & Operational Excellence
- Demonstrates proficiency in essential servicing transactions, including:
- Moving Money (EFTs, journals, wires, checks)
- Opening common account types (individual/joint, IRAs, trusts)
- Transfers of assets
- Updating beneficiaries, account owners, and trustees
- Updating client contact information
- Maintains accuracy and efficiency by understanding the “why” behind transactions and reducing potential errors.
Process & Workflow Management
- Understands and applies CTWM Service Standards; monitors adherence using available systems and tools.
- Demonstrates a foundational understanding of the firm’s core processes and the role client service plays within them.
- Launches workflows in Practifi, understands steps involved, and identifies accountability for each task.
- Assists with onboarding new clients through shadowing and direct support.
Compliance & Confidentiality
- Maintains a basic understanding of firm compliance policies as they relate to client service.
- Always ensure confidentiality and security of client data.
Technology & Reporting
- Understands firm technologies related to servicing and the data collected within each system.
- Identifies errors or missing information and prompts follow-up as needed.
- Assists with data cleanup projects and develops familiarity with service team reports and where they can be generated.
Learning & Development
- Utilizes resources such as Playbook Builder and Wealthscape Learning Hub for continued learning.
- Build knowledge of industry concepts, regulations, and terminology.
- Understands the CTWM client journey (lead, prospect, financial planning, asset management) and how client service supports each stage.
- Demonstrates awareness of firm Scoreboard metrics and their impact on team performance and bonuses.
Qualifications:
- Bachelor’s degree in business, Finance, or related field preferred.
- 1–2 years of experience in client service or financial services environment a plus.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and CRM systems.
- Ability to manage multiple priorities and work effectively under pressure.
- Proactive learner with a client-first mindset.
- Ability to build rapport and trust with clients.
- Strong problem-solving skills and commitment to accuracy.
- Will need to work in our Farmington, CT office regularly with work from home flexibility.
